Bookkeeper vs accountant: what each does, what each costs per hour, and what only an accountant may sign (2026)
Bookkeeper vs accountant in 2026: what each does, median pay per hour in the US and Canada from government statistics, and what only a CPA may sign.
Contents
A bookkeeper records what your business did: every sale, bill and payment, sorted and matched to your bank each month. An accountant uses those records to tell you what they mean, to plan and file your taxes, and, if they are a CPA, to sign reports that a bank or investor will rely on. A bookkeeper's median pay is US$24.36 an hour in the US and CA$28.02 an hour in Canada. An accountant's is US$40.23 and CA$40.36, from the latest government figures.
Most small businesses need both, at different times. The bookkeeper does the monthly work, and the accountant does the yearly work and the big decisions. An accountant's median hour costs about 65% more than a bookkeeper's in the US, and about 44% more in Canada. So every hour an accountant spends sorting receipts is an expensive hour, and clean books from a bookkeeper make the accountant's bill smaller.
What each one does
| # | Job | Bookkeeper | Accountant |
|---|---|---|---|
| 1 | Record sales, bills and payments | Yes, every month | Rarely; they work from the bookkeeper's records |
| 2 | Reconcile your accounts with the bank and suppliers | Yes, every month | Checks it at year end |
| 3 | Payroll and sales tax remittances (GST/HST, PST, US state sales tax) | Often | Often, or advises on them |
| 4 | Monthly profit and loss and balance sheet | Yes, prepared from your records | Reviews and explains them |
| 5 | Income tax planning and your business's tax return | Some prepare simple returns | Yes |
| 6 | Advice: structure, pay yourself salary or dividends, buy or lease | No | Yes |
| 7 | Audit, review or compilation report for a bank, investor or grant | No: in BC this is reserved to CPAs; in the US each state sets it | Yes, if they are a CPA |
What each one costs per hour
These are median wages from government statistics, not prices quoted by firms. A firm or a freelancer charges more than the wage, to cover overhead and profit. For what bookkeeping firms actually charge per month, see what a bookkeeper costs.
| # | Where | Bookkeeper (median per hour) | Accountant (median per hour) | Source |
|---|---|---|---|---|
| 1 | United States | US$24.36 (US$50,670 a year) | US$40.23 (US$83,680 a year) | BLS, May 2025 [1] [2] |
| 2 | Canada | CA$28.02 | CA$40.36 | Job Bank [3] [4] |
| 3 | British Columbia | CA$28.00 | CA$40.00 | Job Bank [3] [4] |
| 4 | Ontario | CA$28.50 | CA$40.87 | Job Bank [3] [4] |
| 5 | Alberta | CA$30.00 | CA$43.27 | Job Bank [3] [4] |
Job Bank publishes hourly wages only. At 2,080 hours a year, a Canadian bookkeeper's median is about CA$58,300 and an accountant's about CA$83,900. That's our arithmetic, not Job Bank's figure.
What only an accountant may sign
In Canada, the title and some work are protected by law, and bookkeeping is not. In British Columbia, the Chartered Professional Accountants Act reserves audits and other assurance work, such as reviews, to licensed CPAs, and CPABC reads it to cover compilation reports too. It exempts "bookkeeping services, consulting services or income tax return preparation and processing services that do not purport to be based on the standards of the Chartered Professional Accountants of Canada" [5]. The titles "CPA", "Chartered Professional Accountant", "professional accountant" and "PA" belong to members. So anyone may call themselves a bookkeeper, and no one but a CPA may sign a report that a bank relies on as following CPA Canada standards.
In the United States, each state's board of accountancy licenses CPAs [6], and state law sets which work only licensed CPAs may do. Check your state's board before you rely on anyone's report.
What this means for you:
- For your monthly books, any competent bookkeeper will do. Ask how they check their work, and what day they close your month.
- If a bank, investor or grant asks for financial statements "with a report", you need a CPA for that report. A bookkeeper's statements are prepared from your records for your own use. They come with no report or opinion, so a lender who needs one will ask for a CPA's.
- "Accountant" alone tells you little. Ask whether they are a CPA, and check the provincial or state register if it matters.
When you need which
- A bookkeeper, monthly, once you have more transactions than you can sort in an evening, or you're more than a month behind.
- An accountant, yearly, for your business's tax return and to plan the year ahead.
- An accountant, now, before you incorporate, change how you pay yourself, take on a loan or investor, or reply to a letter from the CRA or IRS.
- Both, if you're behind. A bookkeeper catches the books up, and the accountant files from clean records. That costs less than paying an accountant's rate to sort your receipts.
Questions to ask either one before you hire
- What will you do each month, and what is left for me?
- Are you a CPA? If not, which of my needs will need one?
- What day of the month will my books be closed?
- Are my books kept in my own QuickBooks or Xero file?
- How do you charge: by the hour, by the month, or by the transaction?
- If I'm in Canada: do you prepare GST/HST and PST returns? In the US: state sales tax?
How we collected this
Wages are medians from the US Bureau of Labor Statistics (Occupational Employment and Wage Statistics, May 2025) and Canada's Job Bank (updated 19 November 2025), read on 2026-10-19. Job Bank's bookkeeper figure is for "accounting technicians and bookkeepers" (NOC 12200), and its accountant figure for "financial auditors and accountants" (NOC 11100). The BC rules are quoted from the Act itself. This page is general information, not legal or tax advice.
What to do next
If you're months behind, the first step is a bookkeeper's catch-up, so your accountant can work from clean records. We're setting up catch-up bookkeeping into your own QuickBooks or Xero file, at a fixed price per month behind, and we plan to publish our close day and error rate when it opens. Join the list.
