# AI bookkeeping vs a bookkeeper: what each costs and what each leaves to you (October 2026)

AI bookkeeping vs a bookkeeper: AI software from US$30 a month, AI that closes the books from US$99, a person from $250 (Oct 2026). What each misses.

In October 2026, AI bookkeeping costs from US$30 per month if you close the books yourself (Puzzle), or US$99 per month if the AI closes them for you with no person on the plan (Pilot Essentials). A service with a human bookkeeper starts at $250 per month (Merritt Bookkeeping) and runs to $750 and up (inDinero) [8]. A freelance bookkeeper on Upwork asks a median of $15 an hour. We read every price on the seller's own page on 2026-10-19.

The bigger difference isn't the price. It's who checks the books, and how you'd know they got them right. No seller of either kind publishes an error rate or the terms of its accuracy guarantee. Only two publish the day your books will be closed. So this page shows which kinds of mistake a machine check catches, which ones only a review by someone who knows your business catches, and what to ask either kind of seller before you sign.

## The options, priced

| # | Option | What it is | Starting price | Who reviews the books | Close day published? | Error rate published? |
|---|---|---|---|---|---|---|
| 1 | Puzzle, Starter [1] | Software: AI sorts 85-90% of transactions, you close the books | US$30/mo | You | No | No |
| 2 | Digits, Essentials [2] | Software: AI bookkeeping and reconciliation, with an "AI Quality Review" | US$65/mo | You, with the AI's review | No | No |
| 3 | Pilot, Essentials [3] | AI does the books and closes them monthly; no human bookkeeper on this plan | US$99/mo | The AI | No | No |
| 4 | Merritt Bookkeeping [4] | A person does your books; one plan | $250/mo | A bookkeeper | No | No |
| 5 | Pilot, Core [3] | Adds a US-based bookkeeper who handles, explains and reviews your books | US$299/mo | A bookkeeper | Yes: 10th business day | No |
| 6 | Xendoo, Essential [5] | A bookkeeping team, billed annually | $395/mo | A bookkeeper | Yes: "as early as the 5th business day", depending on the plan | No |
| 7 | Zeni, Starter [6] | AI bookkeeping plus a finance team (controller, bookkeeping manager, analyst) | $549/mo | A finance team | No | No |
| 8 | A freelancer on Upwork [9] | A person you hire by the hour | median $15/hr (10 profiles) | The freelancer | It's up to you to agree one | No |

Prices with a bare $ are as the seller's page showed them, which doesn't say which dollar. The Upwork figure is the median of the first ten bookkeeper profiles in a search, not a survey.

If your business is in Canada, note that all six firms here are US companies (Upwork is a marketplace of freelancers anywhere). On 2026-10-19, none of the six firms' pricing or home pages mentioned Canada, GST/HST or PST. That doesn't mean they won't take a Canadian client, but it does mean you should ask before you sign whether they prepare your GST/HST and PST returns.

## What a machine check catches

Bookkeeping has three checks. The trial balance proves the debits equal the credits. Reconciliation compares your books with a record someone else keeps: the bank statement, a supplier's statement, the tax agency's account. A reasonableness review asks whether each number makes sense for your business [14].

AI bookkeeping is good at the first two, because they are rules and matching. A reconciliation against your bank catches a bill that was never entered, an amount keyed in wrong on both sides, a payment recorded as a receipt, a bank-feed line entered twice, and a recurring entry that didn't change when your rent did. Software runs these checks every day, where a person may run them once a month. On these two checks, AI does the job well.

## What only a review catches

Two kinds of mistake pass both mechanical checks:

1. **The right type of account, but the wrong one.** Customer A's payment is credited to customer B. The totals still agree, and the bank doesn't care whose payment it was. You find out when customer A gets a late notice.
2. **The wrong type of account altogether.** A $3,000 laptop is booked as office supplies. The bank shows the payment correctly, so reconciliation passes. Only someone who looks at the books and asks "why are supplies so high this month?" catches it, or your accountant at year end, at their hourly rate.

The first costs you a customer's goodwill. The second changes your tax return.

A review can be done by a person or by software. Digits sells an "AI Quality Review" that checks your books for errors [2], and Pilot Core adds a bookkeeper who reviews them [3]. So the question isn't "AI or a person?" It's: **who does the review, how often, and what share of these mistakes do they catch before your accountant does?** No seller on this page publishes that number, for software or for people.

## Both kinds of firm can close

On 27 December 2024, Bench shut its platform without warning, and its more than 11,000 small business customers couldn't reach their books just before tax season [11] [12]. Employer.com bought it within days, and service resumed in January 2025 [13]. On 8 September 2026, Finally, an AI-assisted bookkeeping firm, entered an assignment for the benefit of creditors and is being wound down; its bookkeeping customers went to another firm, Inkle [10]. Whichever you choose, keep your books in a QuickBooks or Xero file that you own, so a firm closing costs you a handover, not your records.

## Questions to ask before you choose

1. What day of the month will my books be closed?
2. Who reviews the categories, a person or the software, and how often?
3. What share of errors do you catch before my accountant does, and can I see it in writing?
4. What does your accuracy guarantee cover, and what do you pay if it fails?
5. Are my books in my own QuickBooks or Xero file, and what do I get if I leave?
6. What does my monthly price cover: how many transactions, accounts and employees?
7. If you're in Canada: do you prepare GST/HST and PST returns for a Canadian business?

## How we collected this

On 2026-10-19 we read each seller's own pricing page and recorded its price, what the price covers, the close day, any accuracy figure or guarantee, and its support, with the URL and the date. Where a page says nothing, the record says "not published", and so does this page. We read pricing pages only; a contract or help article may say more, and if one does, tell us and we'll add it with its date. No company paid to be listed, and nobody was contacted.

## What to do next

To compare more firms on price, see [what a bookkeeper costs](/bookkeeping-cost), which prices six services and two software plans. If you're months behind, you'll need a catch-up first, whichever you choose. Three firms publish a catch-up price: Puzzle charges from $300 for each month behind, so eleven months is $3,300 [1]; Xendoo from $295 a month [5]; and Bookkeeper360 from $1,000, one time [7]. Pilot, Merritt and Zeni don't publish one on their pricing pages. We're setting up catch-up bookkeeping into your own QuickBooks or Xero file, at a fixed price per month behind, and we plan to publish our close day and error rate when it opens.
